1. Who We Are

Koordinat AB ("we", "us") operates the Koordinat fleet management platform, including the web application and CoordinateTracker mobile app. Contact: per@schondell.com

2. Data We Collect

• Account data — name, email address, company name
• Vehicle & tracking data — GPS location, registration number, OBD2 diagnostics, trip history
• Driver mobile app data — GPS location (foreground only), fuel log entries (odometer, litres, price), photos of pump displays, odometers, and receipts
• Usage data — log-in timestamps, feature usage (no third-party analytics)

3. How We Use Your Data

We use your data to provide the service: displaying fleet positions, generating mileage logs, processing fuel log photos with AI to extract numeric readings, and producing tax-compliance reports. We do not sell or share your data with advertisers.

4. AI Photo Processing

Photos submitted via the driver app are sent to an AI vision service solely to extract numeric values (litres, price per litre, total cost, odometer reading). Processed photos are stored on your organisation's server. No photo data is retained by the AI provider beyond the immediate API call.

5. Legal Basis (GDPR)

Processing is based on: contract performance (providing the fleet service), legitimate interest (fraud prevention, service security), and legal obligation (tax record keeping where applicable).

6. Data Retention

Trip and fuel log data is retained for as long as your subscription is active plus 3 years for tax compliance. You may request deletion at any time by contacting your administrator or us directly.

7. Security

All data is transmitted over HTTPS/TLS. Authentication tokens are short-lived and stored in secure device storage. Our infrastructure runs in the EU (Azure Switzerland North or Azure West Europe).

8. Your Rights

Under GDPR you have the right to access, correct, delete, or export your data. Contact us at per@schondell.com to exercise these rights.

9. Cookies

The web application uses a single session cookie for authentication. No third-party tracking cookies are used.

10. Changes

We will notify you of material changes via the app or email before they take effect.
